REFUND & CANCELLATION POLICY

This Refund & Cancellation Policy outlines the terms under which participants, sponsors, or partners may cancel their involvement in the AG Adventure Race, and the circumstances in which refunds may be granted. It ensures fairness, clarity, and accountability for all parties involved in the event. 

  1. General Policy Overview

Registration and sponsorship fees help cover essential event costs such as logistics, production, insurance, and safety operations. As such, specific rules apply regarding refunds and cancellations to maintain the integrity of the competition and ensure proper resource allocation. 

 

  1. Refund Eligibility Conditions

Refunds may be issued under the following conditions: 

  • The event is cancelled or postponed by AG Adventure Race for reasons beyond the participant’s control.
  • A participant withdraws within 7 days of payment and before official selection confirmation.
  • Exceptional cases such as verified medical incapacity or emergencies may be reviewed individually by the Organizer.

 

Refund requests must be made in writing via email to the AG Adventure Race Registration Office with proof of payment and a valid reason for cancellation. 

 

  1. Non-Refundable Deposits and Fees
  • A non-refundable administrative fee may apply to all registrations to cover processing and evaluation costs.
  • Once a participant has been officially confirmed or shortlisted for the Race, registration fees become non-refundable, except in the event of race cancellation by the Organizer.
  • Sponsorship contributions are non-refundable once branding or promotional materials have been produced or public exposure has begun.

 

  1. Cancellation of Participation

Participants wishing to cancel their registration must: 

  1. Submit a written notice of cancellation to Info@agadventurerace.com
  2. Include their full name, contact details, and proof of registration payment.
  3. Await confirmation and refund eligibility assessment from the AG Adventure Race Finance Team.

Cancellations communicated less than 14 days before the event start date will not be eligible for a refund unless due to verified emergencies. 

 

  1. Processing Timelines
  • Approved refunds will be processed within 14–21 business days from the date of confirmation.
  • Refunds will be issued through the same payment channel originally used by the participant or sponsor.
  • The Organizer is not responsible for delays caused by financial institutions or third-party payment processors.

 

  1. Organizer’s Right to Cancel or Postpone

In the event of unforeseen circumstances such as natural disasters, public health restrictions, security threats, or other force majeure events, AG Adventure Race reserves the right to: 

  • Postpone the event to a new date, or
  • Cancel the event entirely and issue partial or full refunds as applicable.

 

Participants will be promptly notified via official communication channels in such cases.
